Reclaim your energy with intentional delegation, smart tools, and the wisdom to focus only on what matters most.
Solopreneurs know the script: freedom on the outside, friction on the inside. Between marketing, admin, invoicing, content creation—and the 3 a.m. website panic—“independent” can start to feel like “isolated.”
But the truth is: you don’t have to do everything. And you shouldn’t.
Outsourcing today means more than hiring help—it’s about building a network of human support and digital assistance that lets you focus on what only you can do. As Filip Drimalka says:
“It’s not about doing less work. It’s about doing better work.”
This guide is for those building sustainable careers without burning out—especially if you’re not fully onboard with AI yet. Think of it as an invitation to design your own ecosystem of support.
1. Start with Support: Outsourcing as an Act of Self-Respect
Being the CEO, marketer, accountant, and copywriter isn’t “superhuman”—it’s unsustainable. The cost isn’t just time. It’s mental fatigue, creativity loss, and joy erosion.
Outsourcing is how you buy back focus, not just hours. Delegating admin or hiring a freelancer isn’t about productivity hacks—it’s how you stay in the game long enough to do meaningful work.
Try This:
- Review your week and highlight draining tasks
- Ask: “Does this require me?”
- Identify low-leverage actions that prevent high-impact thinking
“If you’re spending energy on something someone—or something—else could do, you’re not being efficient. You’re burning your best fuel.” — Filip Drimalka
Collaboration = Motivation: Fight Isolation with a Smarter Support Network
“When you outsource, you’re not just buying time—you’re buying breathing room.”
AI doesn’t just automate—it alleviates. When paired with human support, it creates a surround-sound system of collaboration. You feel less alone, more in control, and far less exhausted.
“You don’t want to burn out. You’re no good to anyone if you do.” — Lisa Ross-Marcus
Micro-Habits That Build Momentum:
- Weekly check-ins with freelancers and AI systems
- A shared “ops desk” workspace where humans + tools connect
- Share your favorite automation recipes with peers
2. Think in Systems: Digital Mindset for Sustainable Success
“Don’t go to work to be at work. Go to work to work on how you work.” — Filip Drimalka
Outsourcing works best when you treat your business like a system.
One that can be:
- Observed
- Mapped
- Improved
- Partially automated
- Supported by others
It’s the shift from task-doer to orchestrator. Start with one repeating task. Break it down. Assign parts to a VA. Automate others. Keep only the spark-worthy piece for yourself.
3. Who (or What) Should You Delegate To?
Outsourcing today is hybrid. The modern solopreneur works with:
- Humans: virtual assistants, editors, consultants, canva experts
- Tools: task managers, automation platforms
- AI: copilots for writing, sorting, organizing
But here’s the key: AI doesn’t replace people—it supports them. And you. It removes friction, not your intuition.
Admin Support
- VA: Scheduling, inbox triage, formatting, spreadsheets, reports
- AI: Email filtering, meeting summaries
Content & Marketing
- Freelancers: Website upkeep support and reporting, editing, strategy, artwork
- AI: Blog drafts, image generation, idea synthesis
Tech & Automation
- Developers/IT: Setup and systems (IT support is worth it's weight in gold!)
- AI agents: Analytics summaries, no-code integrations, booking calendars
Financials
- Accountant: Tax prep, forecasting, regulartory compliance
- AI: Invoice tracking, expense categorization, reconciliation
Life Systems
- Subscriptions: Grocery or meal services
- Smart Tools: Lighting, reminders, mood automation
AI handles micro-decisions that quietly steal your energy.
“Use AI not to replace your team—but to let your team spend more time doing smart work.” — Filip Drimalka
4. Use AI Where It Makes You Stronger (Not Weaker)
Filip doesn’t wait to “learn” AI. He uses it like breathing: naturally, seamlessly, and when it helps.
“I don’t ask if I should use AI. I just use it—in every step of the process.”
High-Impact AI Use Cases:
- Inbox categorization
- Podcast summaries
- Proposal drafting
- Visual generation
- Quiz creation from transcripts
- Brainstorm mapping (e.g. with Notebook LM)

Tip: Start tiny. Don’t wait for mastery. Just get it to summarize one page, clean up one paragraph, or give you one idea.
5. Don’t Just Delegate Tasks—Redesign the Way You Work
Outsourcing and automation are powerful, but they only truly work if you evolve how you work.
“Scan your calendar. Which activities give you energy? Which ones drain it?” — The Future of No Work
Instead of optimizing for hustle, optimize for:
- Leverage – small actions, big returns
- Systems – repeatable and improvable
- Agency – more control, less chaos
Work falls into three categories:
- Work you do yourself intentionally
- Work you co-create with tools or collaborators
- Work you should stop doing completely
Flow State Is the ROI: Focus on What Only You Can Do
“The more I outsource… the more time I have for deep research and the things only I can do well.” — Nigel Rawlins
Delegating to people and AI clears mental space. You switch less. You sink in more. That’s where your best thinking lives.
“Even affirmations help: It’s okay if I make a mistake. I believe in my ideas.” — Lisa Ross-Marcus

Final Thought On Outsourcing— Future-Proof Delegation Starts with Systems
This isn’t just outsourcing—it’s orchestration.
It’s not about saving time—it’s about protecting your brilliance.
AI and human help together let you work like a team of five—with the energy of one.
Start small. Test one tool. Hire one helper. Delegate one task.
What you’re building isn’t just scalable.
It’s sustainable.
FAQ
Start with repetitive admin tasks like email triage, appointment booking, or document formatting—these drain energy but don’t require your unique touch. I use a fabulous Canva designer as I really can't be bothered learning to use Canva or spending the time to create designs. My designer is quick and very reasonably priced.
Not exactly. AI can augment your workflow—handling summaries, drafts, or categorization—but human support still excels at nuance, judgment, and creativity. Plus, if they are good at their jobs, you set them the task and you only have to check when done. At this stage I don't think I can leave it to AI to work unassisted. I use a VA for excel work and other admin tasks for example, listing all the podcast episodes and keeping the details up to date.
Break your work into tasks. Decide what gives you energy. Then map: what to do yourself, what to delegate to people, and what to automate with AI.
As a business owner you need to manage the business and make sure things happen. Your value to your clients is getting their work done so you get paid. Delegation I can guarantee you is peace of mind. Your biggest hurdle is finding the people you want to delegate too, then giving them enough work to sustain them.
That’s completely okay. Start by observing your workflow—notice where time disappears or energy drains. Even simple actions like batching tasks, using calendar tools, or writing down repeatable processes can lighten your load.
The goal isn’t to leap—it’s to build a support mindset. When you’re ready, you’ll already know what to hand off, and to whom (or to what tool). Support systems grow as your clarity grows.
